What are Manual Actions in BizStackPro?
Manual Actions are automation steps that create a task for a person instead of automatically sending or completing the action. Common examples include sending a personalized SMS or making a phone call. Pending tasks appear under Contacts → Manual Actions, where they can be filtered, completed, and tracked.
Combining Automation with Human Follow-Up
Automated sequences are useful for timing messages and keeping follow-up consistent, but some conversations require a person to review the contact and respond directly.
Manual Actions add that human step to an automated process. Instead of automatically sending the next message, BizStackPro creates a task for an assigned user.
The assigned person can then review the contact, make the call, personalize the SMS, or complete the required follow-up before marking the task finished.
This creates a practical balance:
Automation controls the timing. A person provides the personal communication.
Campaigns have been replaced by Workflows
The original Campaigns feature is deprecated. Manual Actions remain supported and can be used in legacy campaigns and current workflow-based automation.
Manual Actions at a Glance
Before You Begin
Decide where personal follow-up is needed before adding a manual step to the automation.
- Identify the campaign or workflow that needs a manual action.
- Decide whether the action should be an SMS, call, or another human task.
- Choose the user or users responsible for the action.
- Determine when the task should be created.
- Prepare the SMS wording or call instructions.
- Decide whether Stop On Response should end later steps.
- Confirm whether contacts may enter the automation more than once.
- Confirm who will monitor the Manual Actions queue.
- Prepare a test contact and phone number.
Step 1: Create or Open a Campaign
These instructions preserve the original legacy Campaigns workflow. Use an existing campaign or create a new one before adding Manual Actions.
Open Campaigns
From the BizStackPro dashboard, open Campaigns.
Create a Campaign
Click + Create Campaign when starting a new sequence.
Enter the Campaign Name
Use a name that explains the purpose of the campaign and the follow-up it performs.
Choose a Folder
Select the folder where the campaign should be organized.
Open an Existing Campaign When Appropriate
Select an existing campaign when adding Manual Actions to a sequence that is already configured.
Step 2: Configure the Campaign Settings
Open Campaign Configuration and review the settings that affect when Manual Actions are created and who is responsible for completing them.
Review assignment before publishing
A Manual Action is only useful when a responsible person knows that the task exists and has access to the queue where it will appear.
Step 3: Add a Manual SMS Action
A Manual SMS creates a task for a user to review and personally send a text message instead of having the campaign send it automatically.
Select Add Event
In the campaign builder, click + Add Event.
Select Manual SMS
Choose Manual SMS from the available event types.
Enter the Message
Write the SMS content the assigned user should review and send.
Add Templates or Custom Values
Use available templates or custom values to include contact or business information when appropriate.
Attach Files When Needed
Add an attachment when the Manual SMS setup supports it and the message requires one.
Use Send Test
Enter a phone number in the Send Test field to review the message before saving the action.
Review the Assigned User
Confirm who will receive responsibility for completing the Manual SMS task.
Save the Manual SMS
Save the event after reviewing the message, timing, and assignment.
Use Manual SMS when personalization matters
The message can be prepared in advance while still allowing a person to review the contact’s situation and make appropriate edits before sending.
Step 4: Add a Manual Call Action
A Manual Call creates a call task that must be handled by an assigned user.
Select Add Event
Click + Add Event inside the campaign builder.
Select Manual Call
Choose the available manual call action.
Add Call Instructions
Include useful context, the purpose of the call, and any information the user should review before contacting the lead.
Assign the User
Select the user responsible for completing the call.
Set the Timing
Configure when the call task should enter the Manual Actions queue.
Save the Manual Call
Save the action after reviewing the instructions, timing, and assignee.
A Manual Call is a task, not an automated call
The action tells a user that a call should be made. It does not automatically place the call or mark it complete.
Use Manual Actions in Workflows
For current automation builds, add the equivalent manual task or communication action inside a Workflow rather than creating a new legacy Campaign.
Open Workflows
Open the BizStackPro Workflows area.
Create or Open the Workflow
Select the workflow where human follow-up should occur.
Add the Manual Task or Action
Add the available workflow step that creates the required manual follow-up.
Configure the Assignment
Choose the user or assignment method responsible for the task.
Add Instructions
Include enough context for the assigned user to complete the action correctly.
Review Stop On Response
Decide whether the workflow should stop later follow-up when the contact replies.
Save and Publish the Workflow
Save or publish the workflow according to your normal production process.
Maintain legacy campaigns instead of rebuilding them blindly
Existing Campaigns may continue to require maintenance. Use Workflows for new automation builds, but verify behavior before replacing a working legacy process.
Manage the Manual Actions Queue
Manual tasks generated by campaigns or workflows are managed from the Contacts area.
Open Contacts
From the BizStackPro dashboard, open Contacts.
Open Manual Actions
Select Manual Actions.
Review Pending Tasks
Review the calls, SMS messages, and other Manual Actions waiting to be completed.
Filter by Campaign
Narrow the queue to tasks created by a specific campaign or automation.
Filter by Assignee
Show tasks assigned to a selected user.
Review the Contact
Open the relevant contact information and conversation history before completing the task.
Treat the queue as active work
Manual Actions do not complete themselves. Someone must review the queue consistently and handle tasks within an appropriate time.
Complete a Manual Action
Mark a task complete only after the required action has actually been performed.
Open the Task
Select the pending Manual Action from the queue.
Review the Contact and Instructions
Confirm the contact, task type, assigned user, prepared message, and any available notes.
Complete the SMS or Call
Send the personalized message or make the required phone call.
Record Useful Follow-Up Information
Add notes or update the contact record when the result should be available to the team.
Mark the Action Complete
Mark the task complete after the action has been finished.
Review the Remaining Automation
Confirm whether later steps should continue, stop, or be adjusted based on the contact’s response.
Do not clear unfinished tasks
Marking an action complete removes it from the active workload. Confirm that the call, message, or follow-up was actually handled first.
