How To Use The Manual SMS Event in Campaigns

Create a timed SMS task for a team member so follow-up stays organized while the final message can still be reviewed and personalized before it is sent.

Quick Answer

What does the Manual SMS Event do?

A Manual SMS Event does not automatically send a text. It creates a task for an assigned user to review and send a personalized SMS. Add the event to a Campaign, provide message guidance, assign the responsible user, publish the Campaign, add a test contact, and confirm that the task appears under Contacts → Manual Actions.

Sending Personalized SMS Without Fully Automating It

Some follow-up messages benefit from automation, while others need a person to review the contact’s situation before sending.

The Manual SMS Event creates a task at the correct point in the Campaign instead of automatically sending a text message.

The assigned user can open the task, review the contact and conversation, adjust the wording, send the message, and mark the action complete.

Think “notify me to text this contact,” not “automatically text this contact.”

This is useful when timing matters but the wording should still reflect the contact’s needs, previous conversation, appointment, or sales stage.

Campaigns have been replaced by Workflows

BizStackPro’s Campaigns feature is deprecated. This guide preserves the legacy Manual SMS Event and explains how the same human-follow-up approach can be used in current Workflows.

Before You Begin

Decide what the user should send and who is responsible for the task before adding the Manual SMS Event.

  • Identify the Campaign or Workflow that needs personal SMS follow-up.
  • Decide when the Manual SMS task should be created.
  • Choose the user responsible for sending the message.
  • Prepare clear guidance for what the user should say.
  • Decide what outcome the SMS should support.
  • Confirm that contact records contain usable mobile numbers.
  • Decide whether custom values should be included.
  • Confirm who will monitor the Manual Actions queue.
  • Prepare a fresh test contact with a mobile number you control.

When to Use a Manual SMS Event

Warm Lead Follow-Up

Prompt a user to send a personalized message while the lead’s interest is still current.

Appointment Follow-Up

Create a task to confirm details, check in, or follow up after an appointment.

Sales Conversations

Give the assigned user a reminder to continue a conversation using wording that fits the opportunity.

Sensitive or Contextual Messages

Use manual review when a fully automated SMS could feel inappropriate, generic, or disconnected.

Use Manual SMS when judgment adds value

Automate the timing of the task, but let the user decide whether the prepared wording should be edited before sending.

Step 1: Add the Manual SMS Event

Create or Open the Campaign

Open an existing legacy Campaign or create a new one.

Select Create an Event

Click Create an Event or + Add Event.

Select Manual SMS

Choose Manual SMS from the available Campaign event types.

Name the Event

Use a name that tells the assigned user why the task exists.

Example: Text Warm Lead After Inquiry.

Configure the Timing

Set when the Manual SMS task should be created relative to the previous Campaign event.

Save the Event

Save the Manual SMS Event after reviewing its name, timing, and instructions.

Step 2: Write Clear Message Guidance

The Manual SMS Event should give the assigned user enough context to understand what to send and why.

Explain the Purpose

State why the contact should receive the SMS.

Provide Suggested Wording

Add a draft the user can review and personalize.

State the Desired Outcome

Explain whether the user should encourage a reply, book an appointment, confirm information, or continue a sales conversation.

Add Custom Values When Supported

Use contact or business custom values when the Manual SMS editor supports them.

Keep the Message Editable

Treat the prepared wording as guidance rather than forcing a generic message into every situation.

Example guidance

“Review the contact’s inquiry and send a short text introducing yourself, acknowledging what they asked about, and inviting them to reply with any questions.”

Step 3: Assign the Task to the Correct User

Manual SMS tasks need a responsible user so they appear in the correct workload.

Open Campaign Configuration

Open the settings for the legacy Campaign.

Find Assign User

Locate the Assign User setting.

Select the Responsible User

Choose the person who should receive and complete Manual SMS tasks.

Save the Assignment

Save the Campaign Configuration.

Review Trigger Assignment Logic

When contacts are assigned through triggers or other routing rules, confirm that those rules send the task to the intended user.

Assignment can come from more than one place

A user may be assigned through Campaign Configuration or through the trigger and contact-assignment logic that enrolls the contact. Test the final task owner rather than assuming the Campaign setting is the only assignment source.

Step 4: Publish the Campaign

The Campaign must be active before it can create live Manual SMS tasks.

Review the Event Order

Confirm that the Manual SMS Event appears at the correct point in the sequence.

Review the Assigned User

Confirm who should receive the task.

Review the Timing

Confirm when the Manual SMS task should be created.

Change the Campaign to Published

Publish the Campaign when it is ready for testing or live use.

Step 5: Manage the Task in Manual Actions

Generated Manual SMS tasks appear in the Manual Actions queue.

Open Contacts

From the BizStackPro dashboard, open Contacts.

Open Manual Actions

Select Manual Actions.

Filter the Queue

Use the available campaign, assignee, or status filters to find the task.

Open the Manual SMS Task

Review the contact, instructions, suggested message, and conversation context.

Personalize the Message

Adjust the prepared wording when the contact’s situation requires it.

Send the SMS

Send the message to the contact.

Mark the Action Complete

Mark the task complete only after the SMS has been sent.

Use Manual SMS in Workflows

Use Workflows for new automation builds.

Open the Workflow

Open or create the Workflow that should generate personal SMS follow-up.

Add the Manual SMS Action

Add the corresponding Manual SMS or manual follow-up action available in the Workflow builder.

Add the Message Guidance

Provide the suggested wording, context, and desired outcome.

Configure Assignment

Select the responsible user or use the Workflow’s existing contact-assignment logic.

Configure Timing

Place the task at the correct point in the Workflow.

Publish After Testing

Confirm that the task appears for the correct user before publishing the Workflow for live contacts.

Use the controls available in the current Workflow builder

The original guide documents the legacy Campaign event. Use the corresponding task, assignment, timing, and Manual SMS controls available in your Workflow account.

Manual SMS Best Practices

Use Manual SMS When Personalization Matters
Reason: Some conversations require judgment that a fixed message cannot provide.
Action: Use the task for warm leads, sales conversations, and situation-specific follow-up.
Give the User Clear Guidance
Reason: A vague task can delay follow-up or lead to inconsistent messages.
Action: Explain what to say, why the message is being sent, and what outcome is expected.
Assign One Responsible User
Reason: Unclear ownership can leave tasks unfinished.
Action: Confirm the final assignee during testing.
Monitor Manual Actions Regularly
Reason: The value of the task depends on timely completion.
Action: Make queue review part of the assigned user’s daily process.
Review the Contact Before Sending
Reason: The contact may have replied, booked, purchased, or changed status before the task became due.
Action: Check the contact record and conversation before sending.
Test with a Fresh Contact
Reason: Previous Campaign history can affect re-entry and task creation.
Action: Use a fresh test contact when troubleshooting.
