BizStackPro Calendar Help Guide

Calendar Settings in BizStackPro

Configure calendar groups, booking-widget steps, meeting details, availability, integrations, payments, and account preferences so your scheduling system matches your workflow.

Quick Answer

What can you control in Calendar Settings?

Calendar Settings controls how your BizStackPro calendars work. From this area, you can manage availability, booking-widget steps, forms, payments, meeting details, groups, connected calendars, video conferencing, Google services, account preferences, and calendar-specific options.

Overview of Calendar Settings

Calendar Settings is the central area used to control how BizStackPro scheduling behaves for your business and your clients.

You can use these settings to define when appointments are available, what clients see during booking, which forms they complete, whether payments are collected, where meetings take place, and how external tools connect to the calendar.

Some options apply to individual calendars. Others apply to calendar groups, account-wide preferences, or individual users.

Calendar Settings can be used with personal calendars and group-based calendar types such as Round Robin, Service, Class, and Collective calendars.

Start with the setting that controls the problem

Missing time slots usually point to availability or connection settings. Booking-flow issues usually point to Forms & Payments. Incorrect descriptions or locations usually point to Meeting Details.

Before You Begin

Review the purpose of the calendar before changing its settings.

  • Identify which calendar or group needs to be changed.
  • Confirm whether the setting is calendar-specific, group-specific, account-wide, or user-specific.
  • Review the current booking link before making changes.
  • Confirm the intended working hours and appointment duration.
  • Identify any connected calendars or video-conferencing tools.
  • Decide whether a form or payment step is required.
  • Review existing appointments before deleting a group or calendar.
  • Plan to complete a test booking after saving the changes.

Configure Forms and Payments

The Forms & Payments tab controls important parts of the client-facing booking process.

Reorder the Booking Widget Steps

You can change whether clients choose a date and time before completing the form or complete the form before selecting an appointment.

Open the Calendar

Go to Calendars → Calendar Settings and select the calendar you want to edit.

Open Forms & Payments

Select the Forms & Payments tab.

Reorder the Available Steps

Drag the Date & Time Selector and Form steps into the preferred order.

Review the Payment Step

When payments are enabled, the Payment step remains last in the booking flow.

Save and Preview

Save the calendar and open the booking link to confirm that the steps appear in the correct order.

Choose the order that reduces client confusion

Use the form first when client information determines whether the appointment is appropriate. Use date and time first when speed and simple scheduling are more important.

Configure Meeting Details

The Meeting Details area controls information such as the calendar description, meeting location, display details, and group assignment.

Customize the Calendar Description

Use the rich text editor to explain what the appointment is for, what clients should expect, and how they should prepare.

Select the Calendar

Open the calendar from Calendar Settings.

Open Meeting Details

Select the Meeting Details tab.

Edit the Description

Use the rich text editor to add headings, formatting, links, policies, preparation instructions, or other useful details.

Review the Meeting Location

Confirm whether the appointment takes place in person, by phone, or through a connected video-conferencing platform.

Review Group Assignment

For group-based scheduling, confirm that the calendar belongs to the correct calendar group.

Create and Manage Calendar Groups

Calendar groups help organize several calendars into one structured scheduling experience.

Groups can make it easier for clients to browse multiple services, appointment types, departments, or team-based booking options.

Open the Groups Area

Go to Calendar Settings → Groups.

Select Create Group

Click Create Group.

Choose a Template

Select either the Classic or Neo template.

Enter the Group Details

Add the group name, description, and other available display information.

Add or Arrange Calendars

Place the appropriate calendars inside the group and arrange them in the preferred display order.

Share or Embed the Group

Use the group action menu to access its scheduling link or embed code.

Review the deletion choice carefully

When deleting a group, BizStackPro may allow you to delete only the group while keeping its calendars or delete the group along with its associated calendars and appointments.

Calendar and Group Tab Actions

Use the three-dot action menus in the Calendars and Groups areas to manage existing scheduling assets.

Edit

Open the calendar or group settings and update its configuration.

Duplicate

Copy an existing calendar when a new calendar will use similar settings.

Move

Move a calendar from one group to another when its organization changes.

Deactivate

Temporarily stop a calendar or group from being used without immediately deleting it.

Delete

Permanently remove the selected calendar or group after reviewing the effect on appointments and related calendars.

Share or Embed

Copy a scheduling link or embed code for use on a website or other client-facing page.

Create a Calendar

A common team-based setup is a Round Robin calendar, but the correct calendar type depends on how appointments should be assigned.

Select Create Calendar

Open Calendar Settings and click Create Calendar.

Choose the Calendar Type

Select the calendar type that matches the intended booking process.

For team distribution, select Round Robin Booking.

Configure Meeting Details

Enter the calendar name, description, duration, location, and other meeting information.

Assign the Calendar to a Group

When the calendar should appear inside a group, select the appropriate group under Meeting Details.

Configure Availability and Team Members

Set the booking hours and assign the users who should receive appointments.

Save and Test

Save the calendar and complete a test booking before sharing the scheduling link.

Account and User Preferences

Some scheduling preferences affect the entire account, while others are controlled separately for each user.

Account Preferences

Account-level options can include the start day of the week, booking-widget language, and time format.

User Preferences

User-specific options can include custom meeting locations, connected calendars, and video-call preferences.

Confirm the scope before changing a preference

An account preference may affect every calendar, while a user preference may affect only one team member’s scheduling setup.

Select the calendar and open its availability settings.

Configure Monday First

Set the correct hours for Monday or another representative workday.

Copy the Hours to Other Days

Copy the schedule to other days that use the same working hours.

Adjust Exceptions

Change individual days that require different hours or no availability.

Confirm that buffer times and minimum-notice rules are not removing more availability than intended.

Save and Test the Booking Page

Open the public calendar and confirm that the correct appointment times appear.
