How to Use the Calendar Troubleshooting Tool

Test calendar logic, pinpoint availability issues, and understand why specific booking times are available or blocked.

Quick Answer

Find out why a calendar time slot is unavailable

Open Calendar Settings, select the calendar you want to test, and choose Troubleshoot Calendar. The troubleshooting view shows available and unavailable slots. Hover over a blocked slot to see the reason it cannot be booked.

Finding Missing Time Slots Without Guessing What Is Wrong

You may notice that certain time slots are not appearing on a booking calendar, but it is not always clear why those times are unavailable.

Calendar availability can depend on user schedules, existing appointments, blocked times, scheduling notice, appointment buffers, date-range limits, and team-calendar rules.

Without a clear way to diagnose the issue, you may spend time changing the wrong settings.

The Calendar Troubleshooting Tool shows which slots are available or blocked and explains the reason behind each unavailable time. This helps you identify the setting that needs attention before clients encounter the problem.

At a Glance

  • View potential booking slots across a selected date range.
  • Identify unavailable slots and see why each one is blocked.
  • Review availability for Personal and Individual calendars.
  • Test team logic for Round Robin and Collective calendars.
  • Change calendar settings and refresh the view to test again.

Before You Begin

  • Confirm that you are reviewing the correct calendar.
  • Note the date and time that is missing.
  • Confirm the assigned user or team members.
  • Review the calendar and user timezones.
  • Check for existing appointments or blocked times.
  • Review minimum-notice and buffer settings.

How to Access the Troubleshooting Tool

Open Calendar Settings

Open the Calendar Settings area inside BizStackPro.

Select the Calendar

Choose the calendar that contains the missing or unavailable time slot.

Choose Troubleshoot Calendar

Click Troubleshoot Calendar to open the troubleshooting view.

Review Calendar Availability

Navigate to the date containing the time you want to test. The troubleshooting view shows the potential appointment slots for that date.

Available times can be booked based on the current calendar rules. Unavailable times are blocked by at least one setting, schedule, or conflict.

Hover over an unavailable slot to view the reason it is blocked. For Collective and Round Robin calendars, the tool can also show user-level availability information.

Common Unavailable Slot Reasons

Depending on the calendar type and settings, the troubleshooting tool may display one of the following reasons.

  • USER: The assigned user is unavailable.
  • BOOKED: The slot already contains an appointment.
  • BLOCKED: The time was manually blocked.
  • NOTICE: The minimum scheduling notice has not been met.
  • BUFFER: Appointment buffer time prevents the slot from being booked.
  • COLLECTIVE: One or more required users are not available.
  • LOOKBUSY: The slot is hidden by the Look Busy setting.
  • RANGE: The time falls outside the permitted booking date range.

Update the Settings and Test Again

Once you identify why the slot is blocked, return to the relevant calendar or user settings.

  1. Update the setting that is causing the unintended restriction.
  2. Save the calendar changes.
  3. Return to the troubleshooting view.
  4. Refresh the view to apply the updated settings.
  5. Review the date and time again.

If the slot is still unavailable, review the reason shown by the tool again. Another availability rule or conflict may also apply.

Best Practices

  • Start with one specific missing time slot.
  • Confirm the calendar and user timezones before changing rules.
  • Change one setting at a time.
  • Save changes before refreshing the troubleshooting view.
  • Check whether a blocking rule is intentional before removing it.
  • Test the corrected time on the public booking page.
