Quick Answer
What should you check when the AI Bot is not responding?
Start by checking the contact for an alert user or stop bot tag. Either tag can prevent the AI Bot from replying.
Next, confirm that Bot Status is set to Bot and that the Prompt, Calendar ID, and Intro Message fields are filled. Finally, make sure the connected calendar has available appointment times.
How Bot Responses Are Controlled
The BizStackPro AI Bot depends on several contact-level settings and connected systems before it can respond correctly.
Contact tags can pause or disable the bot. Booking Bot fields determine whether the contact has the required prompt, status, calendar, and introductory message. Calendar availability determines whether the bot has appointment times it can offer.
If one of these requirements is missing, the bot may remain inactive even though the rest of the setup appears correct.
Check the contact before rebuilding anything
Most response problems can be traced to a tag, missing field, or unavailable calendar. Review these items first before changing workflows or rebuilding the AI Bot setup.
Bot Troubleshooting at a Glance
Before You Begin
Open the contact record where the AI Bot is failing to respond and review the setup in the order shown below.
- Confirm you are viewing the correct contact record.
- Review all tags currently attached to the contact.
- Locate the Booking Bot section in the contact details.
- Confirm the required Bot fields contain values.
- Open the connected calendar booking page in another tab.
- Test the bot again after correcting each issue.
Step 2: Check the Required Booking Bot Fields
After verifying the contact tags, confirm that every required Booking Bot field contains valid information.
Bot Status
Verify that Bot Status is set to Bot. If it is disabled, the AI assistant cannot respond.
Prompt
Make sure a valid AI prompt has been assigned. A blank prompt prevents the bot from knowing how it should respond.
Calendar ID
Confirm that the Calendar ID field contains the calendar the Booking Bot should use when scheduling appointments.
Intro Message
Verify that an introductory message exists so conversations begin correctly.
Blank fields can stop the bot
If any required Booking Bot field is empty, update the corresponding Custom Value before testing the bot again.
Step 3: Check Calendar Availability
Even if the AI Bot is configured correctly, it cannot schedule appointments when no availability exists.
Open the Booking Calendar
Navigate to the calendar connected to the AI Bot.
Review Available Time Slots
Confirm that appointment times are available for contacts to book.
Update Availability if Needed
Add available hours or reconnect the calendar integration if no appointment times appear.
Test the Bot Again
After restoring availability, start a new conversation to verify the AI Bot responds correctly.
