Client Portal Overview

Give clients and leads a single place to manage memberships, communities, affiliates, invoices, estimates, and more—fully branded on your domain.

Bringing Everything Your Clients Need Into One Place

You may be managing memberships, invoices, contracts, and communication across different tools or messages, which can leave clients unsure where to go or what to do next.

The client portal brings these pieces together into a single, branded space where users can access what they’ve been given and manage their own experience without relying on manual follow-ups.

Without a centralized system, information gets scattered, support requests increase, and simple tasks turn into repeated back-and-forth communication.

This guide will walk you through how the portal works, what it includes, and how to set it up so your clients have a clear, consistent place to access everything.

To understand how everything connects, it helps to start with what the portal is and what it’s designed to handle.

What the Client Portal Is

The Client Portal is a branded hub where users can access and manage what they’ve been given—like memberships, communities, affiliate resources, invoices, estimates, and contracts—without needing to email you for every next step.

  • Central hub: Courses, communities, affiliates, billing tools, and updates in one dashboard.
  • Custom domain & branding: Match your portal to your brand and host it on your domain/subdomain.
  • Fast login: Invite users via one-click login emails or secure magic links.
  • Mobile friendly: Easy access from desktop and mobile views.

Benefits & Use Cases

  • Everything in one place: Reduce support tickets and back-and-forth.
  • Self-serve experience: Clients can view, download, and sign what they need.
  • Brand consistency: Reinforce trust from onboarding to delivery.
  • Flexible fit: Great for agencies, creators, e-commerce, events, and service businesses.

Pro tip: Treat your portal like your “client HQ.” Link to it in welcome emails, invoices, proposals, and course onboarding.

Dashboard & Magic Links

  • Copy/share your portal URL or send a one-click login email to contacts.
  • Global Magic Links: Insert secure login links in workflows, email templates, or from contact records.
  • Temporary Magic Links: Links expire after 15 minutes for better security.
  • Track adoption by comparing invitations vs. portal joiners.

Follow along: Copy portal URL → send login email or magic link → confirm the user can access memberships/communities/tools.

Invite Users to the Portal

  • Send login email: Delivers a secure button for instant login (works for multiple selected contacts).
  • Share the URL: Send via email/SMS, or place it in onboarding materials.
  • Invite from child apps: Memberships, Communities, and Affiliate tools can invite users directly.
  • Affiliates: They can log in to view leads, customers, revenue, commissions, and links.
  • Memberships: Members can access courses in the portal as part of the same experience.

Contracts & Estimates

Contract / Document Signing

  • Send contracts and documents for digital signing.
  • Contacts can view, sign, and download signed copies from their dashboard.

View & Manage Estimates

  • Web: Use the dashboard widget → view with the eye icon → download with the download icon (use “View All” for more).
  • Mobile: Open the Estimates tab → view with the eye icon → download after signing.
  • Admin control: Estimates can be enabled/disabled via app permissions.

Set Up Your Client Portal

Step 1: Configure a Custom Domain

  1. Go to SitesClient PortalSettingsDomain Setup.
  2. Select Custom Domain, then enter your domain/subdomain.
  3. Add the DNS records shown at your registrar (A or CNAME) pointing to the provided target.
  4. Wait up to 24–48 hours for DNS propagation, then click Update Domain.

Important: If you see “Domain Setup is Pending!”, finish domain setup first—then move on to branding.

Step 2: Brand the Portal

  • Open SitesClient PortalSettingsBranding.
  • Set portal name/description and choose brand colors.
  • Upload favicon, portal image, and logo (use square images for best results).
  • Add support email + copyright, then Save Settings.

Step 3: Invite Clients

  • Invite from memberships/communities/affiliates, or send login emails from your contact list.
  • Place the portal link in onboarding emails, receipts, and welcome resources.
  • Use magic links for quick access when a user can’t find their login.

Notifications

Notifications help clients stay updated on invoices, estimates, contracts, and activity—while allowing users to control preferences.

For Portal Owners

  1. Go to Client PortalSettingsEmail Settings.
  2. Enable/disable notifications and customize templates as needed.

For Portal Users

  1. Click profile icon → Manage Your AccountNotifications.
  2. Adjust email/push preferences (invoices, estimates, contracts, community activity, etc.).
