You may have contacts with more than one phone number, but it’s not always clear how to store them without creating duplicate records.

Additional phone numbers allow you to keep multiple contact points under a single record while maintaining a clean CRM.

Without this structure, your data can become scattered across multiple entries, making follow-ups harder to manage.

This guide will show you how to import and export multiple phone numbers so your contact records stay organized and accurate.

What “Additional Phones” Is For

The Additional Phones field allows you to store more than one phone number per contact (mobile, office, alternate lines, etc.). This helps keep a single clean contact record while maintaining multiple ways to reach the same person.

Bulk Import: Multiple Phone Numbers

  1. Prepare your CSV with a column for Additional Phones.
  2. Place multiple numbers in a single cell separated by:
    • commas (,)
    • slashes (/)
    • or semicolons (;)
  3. Go to Contacts and open the Import flow, then upload your CSV.
  4. Map your CSV column to the system field Additional Phones.
  5. Review import settings (matching, duplicates, tags, etc.), then click Submit.

Primary phone behavior

If the primary Phone field is blank, the first valid phone number in Additional Phones is typically used as the contact’s primary phone number.

Import Rules, Validation, and Limits

  • Matching: Depending on your import settings, the system may match contacts using primary and/or additional numbers.
  • Duplicates: Duplicate numbers in Additional Phones may be excluded to prevent redundant data.
  • Invalid numbers: Invalid values may be removed automatically during import.
  • Limit: Up to 10 phone numbers can be stored per contact; additional numbers beyond the limit may be ignored.
  • Updates merge: When updating existing contacts, newly imported numbers typically merge with existing numbers rather than replacing them.

Bulk Export: Multiple Phone Numbers

When exporting contacts and including the phone field in your selected columns (for example, from a Smart List), additional phone numbers are included in a separate export column (often labeled Additional Phones).

Additional numbers typically appear in a single cell as a comma-separated list.
