Once you understand how merging works, follow the steps below to select duplicates, choose a master record, and combine contacts inside your BizStackPro account.

When You Should Merge Contacts

Merging is best when the same person/business has multiple records due to multiple form submissions, imports, or different identifiers. A merge consolidates information under one record so reporting and follow-ups stay accurate.

Before you begin

  • Merges are permanent and cannot be undone.
  • This action typically allows 2–10 contacts per merge.
  • If you have more than 10 duplicates, plan to merge in batches.

Step-by-Step: Merging Contacts

Step 1: Select the duplicate records

  1. Go to Contacts or open a Smart List.
  2. Select the checkboxes next to the duplicate contacts you want to merge (2–10 records).
  3. Open the bulk actions menu and choose Merge up to 10 contacts (wording may vary slightly).

Step 2: Choose the Master Record

The Master Record is the contact profile that remains after the merge. Choose the record that has the most accurate details or the best conversation history.

Step 3: Select what data to keep

In the merge wizard, review field-by-field values (like email, phone, custom fields) and select the values you want to retain on the master contact. Where supported, you can keep additional emails/phones rather than losing them.

Step 4: Confirm roles and DND preferences

  • Roles/permissions: the master record typically inherits the highest role among merged contacts (when applicable).
  • DND: review Do Not Disturb settings by channel so you don’t accidentally re-enable a blocked channel.

Step 5: Review and confirm

Double-check everything—especially the master record selection and retained fields—then confirm the merge.

If You Have More Than 10 Duplicates

Since the merge tool is limited to 10 contacts per action, merge in batches:

  1. Merge the first 10 duplicates into the best master record.
  2. Then merge the remaining duplicates into that same master record in the next batch.
