A booked appointment does not always guarantee that the contact will remember the date, time, meeting location, or preparation requirements.
Appointment confirmation and reminder automation keeps the contact informed throughout the booking process.
A typical sequence can confirm the appointment immediately, send one or more reminders before the scheduled time, and deliver an optional follow-up after the appointment.
The timing is connected to the appointment rather than only to the moment when the contact entered the automation. This keeps the reminder schedule aligned when different contacts book different dates and times.

Appointment Automation Structure
An appointment confirmation and reminder automation commonly includes three types of communication.
Confirmation
An optional message sent immediately after booking to confirm that the appointment was created successfully.
Reminders
Recommended messages sent before the appointment, such as one day, two hours, or fifteen minutes before the scheduled time.
Follow-Up
An optional message sent after the appointment, such as a thank-you note, review request, resource, or next step.
Use email and SMS for different purposes
SMS can provide a short, visible reminder, while email can carry detailed instructions, links, directions, policies, or preparation information.
Step 1: Create the Campaign or Workflow
Create the automation that will contain the confirmation, reminder, and follow-up steps.
Open Workflows
Use Workflows when creating new appointment automation.
Open Campaigns for Legacy Automation
Open Campaigns only when maintaining an existing legacy setup.
Create a New Automation
Create the Workflow or Campaign that will manage the appointment messages.
Use a Clear Name
Choose a name that identifies the calendar, appointment, or reminder purpose.
Example: Appointment – Confirmation + Reminders.
Connect the Appointment Entry Condition
Configure the automation so the correct booked appointment causes the contact to enter.
Save the Automation
Save the initial setup before adding message steps.
Step 2: Add an Immediate Confirmation
A confirmation step is optional, but it helps reassure the contact that the appointment was booked successfully.
Add an Email or SMS Step
Add the communication channel you want to use immediately after booking.
Set the Step to Send Immediately
Configure the confirmation to run as soon as the appointment booking causes the contact to enter the automation.
Include the Appointment Details
Add the date, time, time zone, meeting location, phone number, or virtual meeting link.
Include Preparation Information
Add any directions, forms, documents, or instructions the contact needs before the appointment.
Include Appointment-Management Instructions
Add rescheduling or cancellation information when it is available and appropriate.
Save the Confirmation
Review the message and save the step.
Confirmation is optional, but useful
The booking may already be saved without a separate confirmation step. The message helps reduce uncertainty by telling the contact what was booked and what happens next.
Step 3: Add Reminders Using Before Timing
Appointment reminders should be scheduled relative to the booked appointment time.
Add a Reminder Event or Action
Add an email or SMS step for the first reminder.
Select Before Timing
Choose the Before timing option so the message is scheduled before the appointment.
Enter the Time Offset
Choose how many minutes, hours, or days before the appointment the reminder should be sent.
Add the Reminder Message
Include the appointment time and any details the contact needs to attend.
Repeat for Additional Reminders
Add additional reminders at useful points before the appointment.
Mix Channels When Helpful
Use email for detailed information and SMS for shorter, time-sensitive reminders.
Example Reminder Schedule
- 24 hours before: email with appointment details and optional SMS.
- 2 hours before: SMS reminder.
- 15 minutes before: short SMS with the meeting or access reminder.
Appointment data must exist
Before timing depends on a booked appointment date and time. Without an appointment, BizStackPro does not have the scheduling reference needed to calculate when the reminder should run.
Step 4: Turn Off Stop On Response
For appointment reminder sequences, the original guide recommends turning Stop On Response off.
A contact may reply to the confirmation or an earlier reminder with a message such as:
“Thanks!”
That reply does not necessarily mean the later appointment reminders are no longer needed.
Open the Automation Settings
Open Workflow Settings or Campaign Configuration.
Find Stop On Response
Locate the setting that stops later actions after a reply.
Turn the Setting Off
Disable Stop On Response so appointment reminders continue after a contact reply.
Save the Setting
Save the automation configuration.

Other sales or nurture automations may need Stop On Response enabled so messages stop when a real conversation begins.
Add an Optional Post-Appointment Follow-Up

Add a Contact to the Reminder Automation Manually
A contact can be added manually from Conversations or Contacts when the appointment already exists.
Open Conversations or Contacts
Locate the contact who should enter the reminder automation.
Open the Contact Record
Confirm that you selected the correct contact.
Confirm the Appointment Is Booked
Verify that the contact already has the appointment the reminders should reference.
Select the Add Option
Use the available + Add control.
Select the Reminder Automation
Choose the applicable Workflow or legacy Campaign.
Confirm Enrollment
Add the contact and verify that the appointment-based reminder timing is calculated correctly.
Manual enrollment does not create the appointment
The appointment must already be booked. Adding a contact to the automation without an appointment does not provide the date and time required for Before timing.
Publish and Test the Reminder Automation
Complete a controlled test before relying on the automation for live appointments.
Review the Automation
Confirm the confirmation, reminder, and follow-up message order.
Publish or Activate It
Publish the Workflow or legacy Campaign so it can process the test booking.
