BizStackPro Conversations Help Guide

Using Filters and Bulk Actions in Conversations

Keep your inbox organized, find the right threads faster, and update multiple conversations at once using Quick Filters, sorting, and bulk actions.

Quick Answer

How do you organize and update multiple Conversations?

Use Quick Filters to narrow the conversation list, sorting to control whether older or newer threads appear first, and bulk actions to mark conversations as read or unread, star or unstar them, or delete selected conversations. Bulk actions can be applied to up to 100 conversations at a time.

Managing Multiple Conversations Without Getting Overwhelmed

As your number of conversations grows, sorting through every thread one by one can slow down your workflow.

Filters and bulk actions help you organize the Conversations inbox, focus on the messages that need attention, and make changes to multiple conversations at the same time.

Quick Filters narrow the conversation list based on criteria such as assignment, message direction, outbound message type, and message channel. Sorting lets you control whether older or newer conversations appear first.

Bulk actions help with inbox cleanup by letting you update selected conversations together instead of repeating the same action on each thread individually.

Bulk actions support up to 100 conversations

Select conversations using the available checkboxes, choose the bulk action you want to apply, and use Load More when you need to include additional threads within the 100-conversation limit.

Before You Begin

Decide whether you need to narrow the conversation list, change the order of the results, or apply the same action to multiple threads.

  • Open the Conversations area.
  • Decide which conversations you need to focus on.
  • Use Quick Filters when you need to narrow the conversation list.
  • Use sorting when older or newer threads should appear first.
  • Use bulk actions when the same change needs to be applied to multiple conversations.
  • Review selected conversations carefully before using a bulk delete action.

How to Use Bulk Actions

Bulk actions let you apply the same change to multiple conversation threads instead of updating them one at a time.

Open Conversations

Navigate to Conversations and review the conversation list.

Select Conversations

Use the available checkboxes to select the conversation threads you want to update.

Choose the Bulk Action

Select the action you want to apply to the selected conversations.

Load Additional Conversations

Use Load More when additional threads need to be included. Bulk actions can be applied to up to 100 conversations at one time.

Apply the Change

Review the selected conversations and apply the bulk action.

Review before deleting

Bulk actions can include deleting unwanted conversations. Verify the selected threads before applying a delete action.

Available Bulk Actions

Mark as Read

Mark selected conversations as read when they no longer need to remain in an unread state.

Mark as Unread

Mark conversations as unread when you want them to remain visible as items requiring attention.

Star

Star selected conversation threads to identify important or high-priority conversations.

Unstar

Remove the starred status when a conversation no longer needs to remain marked as a priority.

Delete

Delete unwanted conversations as a bulk action when appropriate.

How to Use Quick Filters

Quick Filters narrow the conversation list so you can focus on the threads that match the criteria you need.

Assigned

Filter conversations based on the contact owner or assignee.

Last Message Direction

Narrow the list based on whether the most recent message was inbound or outbound.

Last Outbound Message Type

Filter based on the type of outbound message, such as email, SMS, or other supported message types.

Last Message Channel

Filter conversations based on the communication channel used for the most recent message.

Combine filters with starred conversations

Star high-priority threads first, then use filters to narrow the inbox during a focused work session.

Sorting and Custom Filters

Sorting can be set to Latest → Oldest or Oldest → Latest. The selected sort order works alongside the active filters.

When additional control is needed, custom filters can be created to support a repeatable conversation-management workflow.

Example filtered view

A filtered view could combine assigned to me, inbound last message, and latest first so the newest replies requiring attention appear together.

Filters and Bulk Actions Best Practices

Filter Before Scrolling
Reason: Narrowing the conversation list first reduces unnecessary scrolling and makes the relevant threads easier to find.
Use Stars for Priority Conversations
Reason: Starred threads give you another simple way to identify conversations that deserve attention.
Use Bulk Actions for Repetitive Cleanup
Reason: Applying the same action to several conversations at once can reduce repetitive inbox-management work.
Build Consistent Filter Views
Reason: Repeatable filtered views can help individuals or teams work from the same conversation-management approach.
