Simplify Task and Notes in the Conversations Module – BizStackPro Help

BizStackPro Conversations Help Guide

Simplify Tasks and Notes in Conversations

Quickly add, edit, and manage tasks and notes inside the Conversations module so your follow-ups and internal context stay in one place.

Quick Answer

How do tasks and notes work inside Conversations?

Open Conversations, select the contact you want to work with, and use the Tasks and Notes options in the right-side panel. Tasks help you track next-step actions, while notes help you preserve internal context without leaving the conversation.

Keeping Follow-Ups Organized Without Leaving the Conversation

You may be managing conversations, but keeping track of tasks and important notes at the same time can get scattered.

The right-side panel in Conversations gives you quick access to Tasks and Notes so you can track next steps and capture internal context without leaving the message thread.

Tasks can help you remember actions such as calling a contact, following up, or sending a quote. Notes give you a place to record useful context such as preferences, objections, or conversation history.

Without a clear system, follow-ups can be missed and important details can be forgotten. Keeping these items connected to the conversation gives you a more organized way to manage what needs to happen next.

Where to find Tasks and Notes

Open Conversations, select a contact, and use the right-side panel options for Tasks and Notes.

Before You Begin

Decide whether you need to record an action that needs to happen or information that needs to be remembered.

  • Open the correct contact inside Conversations.
  • Use a task when there is a specific next-step action to complete.
  • Use a note when you need to preserve internal context or history.
  • Give tasks clear names so the required action is easy to understand later.
  • Keep notes concise and focused on information that will be useful during the next interaction.
  • If you accidentally delete a task or note, use Undo immediately.

How to Manage Tasks in Conversations

Use tasks to keep specific next-step actions connected to the contact and conversation.

Open the Conversation

Go to Conversations and select the contact you want to work with.

Open Tasks

In the right-side panel, select Tasks.

Add a Task

Click Add Task, enter the task details, and click Save.

Edit a Task

Click an existing task, update the text or available details, and save your changes.

Mark the Task Complete

Use the task checkbox to mark the action as completed.

Delete or Restore a Task

Delete the task when it is no longer needed and confirm the deletion. If you deleted it accidentally, click Undo immediately to restore it.

Make the action obvious

A task such as “Send proposal” gives you a clearer next action than a vague task such as “Follow up.”

How to Manage Notes in Conversations

Use notes to preserve important internal context without adding it to the customer-facing conversation.

Open Notes

Select Notes in the right-side panel for the contact.

Add a Note

Click Add Note, enter the information you want to preserve, and click Save.

Edit a Note

Click the note, update the text, and save your changes.

Delete or Restore a Note

Delete the note when appropriate and confirm the action. If the deletion was accidental, click Undo immediately to restore the note.

Tasks and notes serve different purposes

Use tasks for actions such as calling, following up, or sending a quote. Use notes for context such as preferences, objections, or useful history.

Internal Comments for Collaboration

Internal comments give your team another way to collaborate inside Conversations without showing those messages to the contact.

  • Use internal comments for private team communication.
  • Use @mentions when you need to tag a teammate.
  • Keep customer-facing messages separate from internal collaboration.

Internal comments are for your team

These comments are intended to remain private and are not shown to the contact.

Bonus: View SMS Segments and Estimated Cost

While composing a text message, you can typically see information about the message length and estimated sending cost inside the composer.

Character Count
Purpose: Helps you understand the length of the message and avoid unnecessary extra text.
SMS Segments
Purpose: Longer messages may be split and billed as multiple SMS segments.
Estimated Cost
Purpose: Gives you an estimate of the SMS cost before the message is sent.

Tasks and Notes Best Practices

Name Tasks Clearly
Reason: Specific task names make the required next action easier to understand when you return to the contact later.
Keep Notes Focused
Reason: Concise notes make the important context easier to find during the next interaction.
Review Tasks Regularly
Reason: Regular review helps prevent small follow-up tasks from piling up or being forgotten.
Use Tasks and Notes Together
Reason: The task records what needs to happen next, while the note preserves the context needed to complete that action well.
