Simplify Tasks and Notes in Conversations

Quickly add, edit, and manage tasks and notes inside the Conversations module so your follow-ups and internal context stay in one place.

Keeping Follow-Ups Organized Without Leaving the Conversation

You may be managing conversations, but keeping track of tasks and important notes at the same time can get scattered.

Tasks and notes inside Conversations let you track next steps and capture context without switching between tools.

Without a clear system, follow-ups can be missed and important details can be forgotten.

This guide will show you how to manage tasks and notes so everything stays organized in one place.

Once you understand how tasks and notes work, follow the steps below to create, manage, and track them directly inside your BizStackPro conversations.

What This Panel Does

In Conversations, the right-side panel gives you quick access to Tasks and Notes so you can track next steps and capture internal context without leaving the message thread.

Follow along: Open Conversations → select a contact → use the right panel tabs for Tasks and Notes.

How to Use Tasks and Notes in Conversations

  1. Open a conversation: Go to Conversations and click the contact you want.
  2. Open Tasks or Notes: In the right panel, select Tasks or Notes.
  3. Add a task: Click Add Task → enter details → Save.
  4. Edit a task: Click a task → update the text/details → Save.
  5. Mark as done: Use the checkbox to complete the task.
  6. Add a note: Click Add Note → write the note → Save.
  7. Edit a note: Click the note → update text → Save.
  8. Delete items: Delete the task/note (as needed) and confirm.
  9. Undo a deletion: If you deleted by mistake, click Undo immediately to restore.

Pro tip: Use tasks for “next step” actions (call, follow-up, send quote) and notes for “context” (preferences, objections, history).

Internal Comments for Collaboration

Use internal comments (with @mentions) to tag teammates while keeping your collaboration private. These comments are only visible to your team and are not shown to the contact.

Bonus: View SMS Segments and Estimated Cost

While composing a text message, you can typically see character count, segment count, and estimated SMS cost inside the composer—helpful for keeping messages concise.

  • Character count: Helps avoid splitting into multiple segments.
  • Segments: Longer messages can be billed as multiple SMS parts.
  • Estimated cost: Lets you gauge spend before sending.
