Quick Answer
Use calendar settings or the appointment modal
Enable Recurring Meetings in a calendar’s availability settings when the calendar meets the recurrence requirements, or create a custom recurring series from the New Appointment modal. You can repeat appointments daily, weekly, monthly, or on a custom schedule.
Automate Repeat Appointments Without Scheduling Each One Manually
Recurring appointments are useful when a client, team member, or group meets on a consistent schedule.
Instead of creating every appointment separately, BizStackPro can generate a repeating appointment series based on a daily, weekly, monthly, or custom recurrence pattern.
BizStackPro supports recurring appointments through two methods: recurring meetings configured inside a calendar, or custom recurring appointments created from the appointment modal.
Choosing the right method helps reduce manual scheduling, maintain consistency, and prevent missed sessions.
Recurring Appointments at a Glance
Choose the Right Setup Method
Calendar Recurring Meetings
Use this method when customers should be able to book a recurring series through a configured calendar.
This method requires the calendar to meet specific setup conditions.
Custom Recurring Appointment
Use this method when you want to create the series manually from the Calendar or Contact record.
A pre-configured recurring calendar is not required.
Service and class calendar limitation
Custom recurring appointments are not currently supported for service calendars or class booking calendars.
Before You Begin
Review the appointment requirements before creating the recurring series.
- Confirm the contact who will attend the appointments.
- Choose the assigned team member.
- Confirm the first appointment date and time.
- Choose how frequently the appointment should repeat.
- Decide whether the series should end on a date, after a set number of occurrences, or continue indefinitely.
- Review the assigned user’s availability.
- Check connected calendars for conflicts.
- Confirm whether workflows or notifications are required.
- Review whether the selected calendar supports recurring meetings.
Finalize the pattern before saving

A pre-configured recurring calendar is not required

Never
The appointment continues repeating without a scheduled end.
On a Specific Date
The recurrence stops when the selected end date is reached.
After a Number of Occurrences
The series stops after the selected number of appointments has been created.
Use a defined end condition when possible
A specific date or number of occurrences can make long-term appointment series easier to audit and manage.
Important Recurring Appointment Notes
Only the First Appointment Triggers Workflows
Only the first appointment in the recurring series triggers connected workflows.
Custom Recurrence Disables Calendar Notifications
Calendar notifications are disabled for appointments created through custom recurrence.
Rescheduling Can Affect the Entire Series
Rescheduling through the standard recurring appointment tools affects the entire series.
One Meeting Link Is Used
A single meeting link is generated and used for every occurrence in the series.
Review automation and notification needs separately
Because only the first appointment triggers workflows and custom recurring appointments do not use normal calendar notifications, confirm how attendees will receive reminders for later occurrences.
Manage and Review the Recurring Series
Review the complete appointment series after it has been created.
- Confirm the first appointment date and time.
- Review several later occurrences.
- Confirm the assigned user.
- Check for scheduling conflicts.
- Confirm that the recurrence ends correctly.
- Test the meeting link.
- Confirm how reminders will be delivered.
- Review workflows connected to the first appointment.
- Check that the series does not extend beyond the intended period.
Canceling one occurrence may affect the series
Canceling or rescheduling through standard recurring appointment tools affects the entire series. Individual occurrences must be adjusted manually when only one appointment needs to change.
Best Practices for Recurring Appointments
Audit the Series Regularly
Review future appointments periodically for conflicts, outdated sessions, or changes in availability.
Use Custom Patterns Carefully
Custom recurrence is useful for bi-weekly, quarterly, annual, and other non-standard schedules.
Confirm the End Condition
Avoid allowing a series to continue indefinitely unless that is truly required.
Check Availability First
Review the assigned user’s calendar before generating a large number of future appointments.
Plan Reminder Delivery
Confirm how attendees will receive reminders for later appointments in the series.
Finalize Before Bulk Changes
Complete the recurrence settings and review the series before making broad edits.
Troubleshooting Recurring Appointments
The Recurring Meetings option is not available
Confirm that the calendar has only one assigned team member and that no date-specific hours are configured. Also confirm that the selected calendar type supports recurring meetings.
Some recurring appointments conflict with other bookings
Review the recurring calendar’s unavailable-slot behavior and check the assigned user’s connected calendars. Reschedule individual occurrences manually when necessary.
Later appointments did not trigger workflows
Only the first appointment in the recurring series triggers workflows. Use a separate automation strategy when later occurrences require additional actions.
Customers are not receiving recurring appointment notifications
Calendar notifications are disabled for custom recurring appointments. Review your communication setup and determine whether a separate reminder process is needed.
Changing one appointment updated the entire series
Standard recurring appointment actions can affect the entire series. Adjust an individual occurrence manually when only one appointment needs to change.
