GDPR Compliance with Custom Checkbox Consent in Forms

Add a GDPR consent checkbox to your BizStackPro forms, make it required, and use workflows + tags + smart lists to manage compliance-ready segmentation.

Overview

If you collect leads in the EU (or you simply want cleaner consent tracking), a dedicated checkbox is a simple way to capture explicit permission. In BizStackPro, you can pair that checkbox with workflows to automatically tag contacts and then build smart lists for compliant marketing segments.

Follow along: Create a checkbox field β†’ add it to your form β†’ mark it required β†’ trigger a workflow on form submission β†’ tag contacts based on the checkbox value β†’ build smart lists from tags.

Step 1: Create a GDPR Consent Checkbox Field

  1. Go to Sites β†’ Forms β†’ Builder.
  2. Click + Add Form (or open an existing form).
  3. In your field options / custom fields, click + Add and choose Checkbox.
  4. Name it something clear (example: GDPR Consent).
  5. Add your consent statement (keep it plain and specific).

Important: The wording you use matters. If you’re unsure, use a legally approved statement for your business.

Step 2: Make the Checkbox Required (If Needed)

Drag your GDPR checkbox into the form, select it, and enable Required. If you want to allow β€œno consent” submissions (for non-marketing flows), leave it optional and let workflows segment contacts.

Rule of thumb: If the form’s purpose is marketing sign-up, make it required. If the form is service/support related, consider optional consent and segment later.

Step 3: Create a Workflow Triggered by the Form

  1. Go to Automation β†’ Workflows (or your workflow area).
  2. Create a new workflow.
  3. Add the trigger: Form Submitted and select the form you’re using.
  4. Make sure the workflow can evaluate the GDPR checkbox field value.

Step 4: Tag Contacts Based on Consent

Add an If/Else condition to check whether the GDPR checkbox is selected, then apply tags accordingly.

  • If Yes: Add a tag like GDPR Compliant or Consent Given.
  • If No: Add a tag like No Consent or Non-Compliant.

Follow along: Workflow β†’ If/Else β†’ choose your GDPR checkbox field β†’ set the condition (selected / includes / equals) β†’ apply tags on each path.

Step 5: Build Smart Lists for Compliance Segments

Create smart lists so you can quickly filter contacts based on consent status.

  1. Go to Contacts β†’ Smart Lists.
  2. Create a new smart list and filter by Tag.
  3. Save one list for Consent Given and another for No Consent.

Use case: Only enroll contacts tagged Consent Given into promotional campaigns.

Pro Tips

  • Be specific: Make it clear what the user is opting into.
  • Keep naming consistent: Use the same checkbox and tag names across forms.
  • Test everything: Submit test entries for both scenarios (checked vs unchecked).
  • Segment properly: Use smart lists and tags to control campaign enrollment.
  • Review regularly: Update consent wording as your process changes.

Frequently Asked Questions

What should be included in the GDPR Compliance Checkbox statement?

Use clear language that explains what the visitor is consenting to (marketing messages and/or data processing), in a short and understandable statement.

Can I use the same checkbox for multiple forms?

Yesβ€”reuse the same checkbox field across forms to keep consent collection consistent.

What if a visitor does not check the GDPR Compliance Checkbox?

If the checkbox is required, the form won’t submit. If it’s optional, you can use workflows to tag and segment contacts based on consent status.

How do I verify that my workflow is working correctly?

Submit test entries with the checkbox checked and unchecked, then confirm tags are applied correctly and smart lists update as expected.

Can I customize the tag names for compliance?

Yesβ€”use clear names like GDPR Compliant, Consent Given, and No Consent so segmentation stays obvious.
