Opportunities Overview

Filter, add, export, import, and customize opportunities in BizStackPro—so your pipeline stays organized, actionable, and easy to report on.

Understanding Your Pipeline Before Taking Action

When working with opportunities, it can be difficult to keep track of deals, statuses, and activity if everything is spread across multiple views and records.

The opportunities system brings your pipeline, contact data, deal values, and activity into one structured place so you can manage everything from a single workflow.

Without a clear overview, it becomes harder to prioritize deals, maintain accurate data, and generate reliable reports.

This guide will walk you through how opportunities are organized and managed so you can keep your pipeline clear, searchable, and easy to work with.

To begin, start by using filters to narrow down your opportunity view and focus on the right deals.

Filtering Opportunities

Filters help you narrow down what you see so you can focus on the right deals and export exactly what you need.

  • Filter by Owner, Status, Campaign Type, Date Added/Created/Updated, value-based fields, and more.
  • Select one or multiple pipelines to refine results.
  • Sort results by Date Added (ascending or descending).
  • Use AND/OR logic for advanced filter combinations.
  • Export filtered results (with optional extras like tasks, notes, company name, etc.).

Pro tip: Save time by applying filters first—exports respect your active filters, so you don’t need to clean the file afterward.

Add a New Opportunity

Create opportunities for existing contacts or create a new contact while adding the opportunity.

  • Go to Opportunities.
  • Click + Add Opportunity.
  • Select the contact (or create one) and choose the pipeline + stage.
  • Set key details like value, source, owner, and any custom fields you track.
  • Save to add it to your pipeline.

Separate Contact and Opportunity Owners

In some workflows, the person managing the relationship (contact owner) isn’t the same person closing the deal (opportunity owner).

  • Go to Settings → Opportunities & Pipeline.
  • Enable the option to decouple contact and opportunity owners.
  • Choose whether owner changes should also update followers for contacts and/or opportunities.

Why it matters: Separate owners improve accountability—especially when you have multiple team members handling different parts of the sales process.

Export Opportunities (CSV)

Export lets you download opportunity data for reporting, backups, or analysis in spreadsheets.

  • Open the three-dots menu in Opportunities and choose Export.
  • Exports respect active filters, so filter first for best results.
  • Depending on your options, include items like tasks, notes, calendar events, and company name.
  • You may also be able to hide certain fields (like tags/owners) for cleaner reports.

Inside an Opportunity Card

The opportunity card is your “control center” for deal tracking—everything you need without bouncing between tools.

  • Contact details: name, email/phone, tags, company (where available)
  • Opportunity details: pipeline stage, status, value, owner, source
  • Tasks, appointments, and notes tied to the opportunity
  • Custom fields (and “hide empty fields” for a cleaner view)
  • Additional contacts associated with the same opportunity (where supported)

Notes Management

Notes help you preserve context and keep deal history readable—especially when multiple people touch the same record.

  • Add notes linked to opportunities or contacts.
  • Search, filter, and sort notes by date or content.
  • Review related contact notes inside the opportunity for full context.

List View (Tables and Columns)

List View is great when you want a spreadsheet-style layout for reviewing lots of opportunities at once.

  • Switch from pipeline view to List View.
  • Reorder and resize columns for the data you care about most.
  • Customize which fields display (including custom fields).
  • Apply filters and export the exact table view you built.

Import Opportunities into Pipelines

Imports let you bulk create or update opportunities using a CSV—useful for migrations and ongoing cleanup.

  1. Go to Opportunities → open the three-dots menu → select Import.
  2. Download the sample CSV to confirm required fields and formatting.
  3. Upload your CSV and choose Create, Update, or Create & Update.
  4. Map fields carefully, preview your data, then start the import.
  5. Monitor progress and fix errors using the import results/summary.

Best practice: For large imports, split the file into smaller batches so it’s easier to troubleshoot errors.

Pro Tips

  • Use AND/OR filtering: Build precise opportunity views for follow-up blocks.
  • Separate owners: Improve accountability in team environments.
  • Use custom fields: Track business-specific data without cluttering default fields.
  • Use List View for reporting: It’s often faster for audits and exports.
