Manual access allows you to grant offers directly using tags and workflows, giving you control over who receives access and when it happens.

Without a clear process, users may receive duplicate emails, miss login instructions, or gain access without knowing how to use it.

This guide will walk you through how to grant access manually while keeping communication clear and avoiding common issues.

To start, it helps to understand when manual access is the right approach.

When to Grant Access Manually

  • Platform migrations: Move members from another platform without re-charging them.
  • Complimentary access: Grant access to a specific person, team, or cohort.

Tip: You can grant access directly from a contact record, but workflows are usually more reliable for sending login instructions consistently.

Prepare a Product & Offer

  1. Create or clone a product: Start with a new product or copy an existing one.
  2. Create an offer: Attach the product to an offer (you can do this from Products too).
  3. Optional checkout link: Open the offer and copy the checkout URL for later use.

Avoid duplicates: If workflows send credentials, consider disabling default Membership emails (Memberships → Courses → Settings → Email Settings) so users don’t receive multiple messages.

Grant Access with Tags & Workflows

Step 1: Create a Temporary Tag

Create a tag like Offer A – Free Membership Access. You’ll use it to trigger the grant workflow and to track who has been processed.

Step 2: Workflow 1 — Grant the Offer

  1. Trigger: Contact Tag Added (filter for your temporary tag).
  2. Action: Course – Grant Offer (select the offer).
  3. Optional: Remove the temporary tag after the grant completes.
  4. Publish the workflow.

Step 3: Workflow 2 — Send Login Instructions

  1. Trigger: Membership New Signup (best for first-time credentials emails)
  2. Action: Send an email (or SMS) that includes the user’s Login URL (magic link) and next steps.
  3. Alternative trigger: Use Offer Access Granted when you’re granting additional access later and only need a notification.
  4. Publish the workflow.

Step 4: Apply the Tag to Contacts

  • Apply the tag to individual contacts to grant access one-by-one.
  • Apply the tag in bulk (manual selection or import) to grant access to many contacts at once.

Handling Existing Members

  • If a contact already has access, credentials may not resend automatically.
  • Send a separate notification email that includes a magic link or password reset instructions.

Best practice: Keep “Credentials Email” and “Access Granted Notification” as two separate workflows so you can reuse them without confusion.
