CSV import allows you to upload historical invoice data in bulk, keeping your records intact inside BizStackPro.

Without a structured import process, data can become inconsistent, important details may be lost, and reporting across systems becomes harder.

This guide will walk you through how to import old invoices so your billing history stays organized and accessible in one place.

To begin, review why CSV import is used and how it simplifies migrating invoice data.

Why Use CSV Import for Old Invoices?

  • Seamless migration: Move old invoices into BizStackPro without rebuilding them one-by-one.
  • Save time: Upload in bulk and reduce manual entry.
  • Reduce errors: Field mapping helps keep columns consistent (especially dates and taxes).
  • Clear summary: Receive an email report that highlights successes and failures.

Follow along: Go to Payments → Invoices & Estimates → click + New → choose Import Invoices using CSV.

Step 1: Open the Invoice Import Tool

  1. Navigate to Payments → Invoices & Estimates.
  2. Click + New.
  3. Select Import Invoices using CSV.

Step 2: Download & Prepare Your CSV

Start with the sample CSV template to ensure the correct formatting, then paste or export your invoice data into that structure.

  • Download the sample CSV during the import flow.
  • Fill in key invoice details (invoice number, issue date, due date, customer info, line items, totals, etc.).
  • Keep your column headers consistent—this makes mapping faster and reduces failures.

Pro tip: Clean your data first—remove extra spaces, verify date formats, and standardize how taxes are labeled across invoices.

Step 3: Upload & Map Fields

  1. Upload your CSV file in the import flow.
  2. Map required columns (issue date, due date, customer identifiers, line items, totals).
  3. Map tax columns to the tax rates already configured in BizStackPro. If needed, set up or confirm your taxes in Payments → Settings → Taxes before importing.

Important: If taxes in your CSV don’t match configured tax rates, you may see failures or incorrect tax application. Make sure your tax naming/mapping is consistent.

Step 4: Start the Import

Click Start Import to begin processing. Once complete, you’ll see a confirmation message in the app.

Step 5: Review the Email Summary

After the import completes, BizStackPro sends an email summary with a CSV attachment showing:

  • Which invoices imported successfully
  • Which invoices failed
  • Failure reasons (so you can correct and re-import)

Important Notes Before You Import

  • No automated reminders: Imported invoices won’t trigger reminder emails/texts. Reminders apply to invoices created inside BizStackPro.
  • Late fees & tips: These may follow your configured settings unless managed per invoice (where available).
  • Editing is allowed: After import, you can update due dates, taxes, and amounts as needed.

Importing from Multiple Tools
