Quick Answer
How do you create a Smart List in BizStackPro?
Open Contacts, go to Smart Lists, click More Filters, configure the contact criteria you want, add additional conditions when needed, then click Save as smart list and give the list a clear name.
What a Smart List Does
As your contact list grows, manually sorting and rebuilding the same groups of people can take unnecessary time.
A Smart List is a dynamic contact segment built from filters.
When contacts match the criteria you selected, they appear in the Smart List automatically instead of requiring manual sorting.
Smart Lists can help you organize contacts for bulk actions, exports, and other contact-management tasks while reusing the same segmentation criteria.
Smart Lists update from their filter criteria
Instead of rebuilding a contact segment each time you need it, save the filter combination as a Smart List and return to it later.

Before You Begin
Decide what group of contacts you want to identify before building the Smart List.
- Sign in to your BizStackPro account.
- Identify the contact segment you want to build.
- Choose the filters that define who belongs in the list.
- Decide whether multiple AND conditions are needed.
- Choose a clear Smart List name you will recognize later.
- Consider which columns or export fields you may need from the list.
Step 1: Create a Smart List
Build a reusable contact segment by defining the filters that determine which contacts should appear.
Open Smart Lists
Go to Contacts and open the Smart Lists area.
Open More Filters
Click More Filters to browse the available filter categories.
Filters can include tags, activity, country, user assignment, and other contact information.
Apply Your Filters
Choose the criteria a contact must meet to appear in the Smart List.
The original guide includes examples such as Created By, Client Portal, and Community Group.
Add Additional Conditions
Add more rules with AND when you need to narrow the list further.
Save the Smart List
Click Save as smart list, enter a clear name, and save the list.
Use recognizable names
Names such as Clients – New Leads (Last 30 Days) or VIP – DND Off can make saved segments easier to identify later.
Step 2: Edit, Copy, Rename, or Delete a Smart List
Saved Smart Lists can be updated or managed when your segmentation needs change.
Find the Saved Smart List
Open Contacts and select the Smart List you want to manage.
Edit the Filters
Open the Smart List and adjust its filters when the contact criteria need to change.
Open the List Options
Use the available top-right menu to manage the saved Smart List.
Choose the Management Action
Depending on what you need, use the available options to copy, rename, share, or delete the Smart List.
Copy before changing a useful list
If you need a similar Smart List, copy the existing list first and then adjust the filters. This keeps the original list intact.
Advanced Filter Options
Smart Lists support a range of filters for more precise contact segmentation.
User and Record Activity
Filter using fields such as Created By, Last Updated By, or Last Activity time.
Communication Preferences
Use Inbound or Outbound DND settings when those criteria are relevant to the contact segment.
Social IDs
Available criteria can include Instagram ID, Facebook ID, and Google ID.
Contact Details
Filters can include Country, Timezone, Website, Valid Email, and Source Type.
Additional Contact Information
Additional email and phone fields can also be available for Smart List filtering and contact organization.
Columns and Exports
Many of these fields can also be included as columns and in exports from Smart Lists.
