Finding the Right Contacts Without Sorting Manually
You may have a growing list of contacts, but it’s not always clear how to find the right people at the right time.
Smart Lists allow you to automatically group contacts based on filters like tags, activity, location, and more.
Without dynamic lists, you may spend time manually sorting or recreating the same segments over and over.
This guide will show you how to create and manage Smart Lists so your contact organization updates automatically.
Once you understand how Smart Lists work, follow the steps below to build, edit, and manage dynamic segments inside your BizStackPro account.
What Is a Smart List?
A Smart List is a dynamic contact segment built from filters. When contacts match your criteria, they appear in the list automatically—no manual sorting needed.
Create a Smart List
- Open Smart Lists: Go to Contacts and select the Smart Lists area.
- Click “More Filters”: Browse filter categories (tags, activity, country, user assignment, and more).
- Apply your filters: Choose what qualifies a contact to be included (example filters: Created By, Client Portal, Community Group).
- Stack conditions: Add additional rules with AND to narrow the list further.
- Save as Smart List: Click Save as smart list, name it clearly, then save.
Naming tip
Use names you’ll recognize later (example: Clients – New Leads (Last 30 Days) or VIP – DND Off).
Edit, Copy, Rename, or Delete a Smart List
- Find your list: Saved Smart Lists appear under Contacts.
- Edit filters: Open the Smart List and adjust the filters as needed.
- Manage options: Use the top-right menu to copy, rename, share, or delete the Smart List.
Tip: If you need a similar list, use Copy first—then tweak filters. This keeps your original list intact.
Advanced Filter Options
Smart Lists support many filter types. Here are examples you can use for more precise segmentation:
- Created By / Last Updated By
- Inbound / Outbound DND settings
- Instagram ID / Facebook ID / Google ID
- Country / Timezone / Website
- Valid Email / Source Type / Additional emails & phones
- Last Activity time
Many of these fields can also be included as columns and in exports from Smart Lists.
