How to Create a Document or Contract with Multiple Signatures

Build contracts that require multiple signatures, assign each signer correctly, and track document progress from sent to completed.

Getting All Required Approvals in One Document

When a document requires approval from more than one person, managing separate files or collecting signatures individually can slow everything down.

Multi-signature documents allow you to assign specific signature fields to different recipients within a single contract or agreement.

Without a structured setup, signatures can be missed, assigned incorrectly, or delay completion of the document.

This guide will walk you through how to create and manage documents with multiple signatures so each signer is clearly assigned and tracked.

To begin, review why multiple signatures are used and how they support document approvals.

Why Use Multiple Signatures

Multiple signature support allows you to collect approvals from several people on a single document—perfect for proposals, agreements, estimates, or internal approvals.

  • Collect signatures from multiple stakeholders
  • Track document progress in real time
  • Download completed contracts as PDFs

Step 1: Create or Open a Document Template

  1. Go to PaymentsDocuments and Contracts.
  2. Open Templates.
  3. Click Create New or open an existing template.
  4. Give the document a clear, descriptive title.

Step 2: Add Products and Pricing (Optional)

If your document includes pricing or estimates, you can attach products directly to the template.

  • Drag the Product List element into the document.
  • Select products from your catalog or create new ones.
  • Review totals and descriptions before sending.

Step 3: Add Multiple Signature Fields

  • Drag the Signature element into your document.
  • Add a separate signature field for each signer.
  • Place each field near the appropriate section of the document.

Important: Every signature field must be assigned to a recipient, or the document cannot be completed.

Step 4: Assign Recipients

  • Open the Recipients tab.
  • Assign each signature field to the correct contact.
  • Select Sender if the signer should be the team member sending the document.

Workflow note: In workflows, the Sender is tied to the last business user who edited the document.

Step 5: Send and Track the Document

  • Send the document via email or generate unique signing links.
  • Monitor status under Documents and Contracts.
  • Download the final PDF once all signatures are complete.

Pro Tips

  • Double-check recipient assignments before sending.
  • Use clear document names for easier tracking.
  • Create new versions instead of editing sent documents.
