How to Add Automated Invoice Reminders – BizStackPro Help

How to Add Automated Invoice Reminders

Automate payment follow-ups in BizStackPro by enabling invoice reminders. Improve cash flow, save time, and keep client communication consistent and professional.

Following Up on Invoices Without Chasing Manually

When invoices go unpaid, it can be time-consuming to remember who needs a reminder and when to follow up.

Automated reminders handle this process by sending scheduled messages through email or SMS based on your defined timing.

Without automation, follow-ups can be inconsistent, overdue invoices can pile up, and payments may take longer to collect.

This guide will walk you through how to set up automated reminders so your follow-ups stay consistent and require less manual effort.

To begin, navigate to the reminder settings where you can configure your follow-up rules.

Step 1: Navigate to Reminder Settings

  1. Go to PaymentsInvoices & EstimatesAll Invoices.
  2. Click Settings.
  3. Select Reminder Settings.

Follow along: This is where you build your “default” reminder rules so your follow-ups run automatically after you send invoices.

Step 2: Configure Your First Reminder

  • Toggle reminders On to enable automation.
  • Add a Reminder Name (example: Payment Reminder 1).
  • Select an Email or SMS template (or use the default).
  • Edit the subject line (email) and personalize using custom values like client name or due date.
  • Set the frequency (example: every 3 days after the invoice is overdue) and a maximum number of reminders.

Pro tip: Keep Reminder 1 friendly and short. Make Reminder 2 more direct. Save the strongest language for Reminder 3 (final notice style).

Step 3: Add Additional Reminders

Click Add Another Reminder to create a second or third follow-up with different templates, timing, and wording.

Example cadence: 1 day overdue (gentle) → 4 days overdue (direct) → 7 days overdue (final).

Step 4: Finalize & Manage Reminders

  • Toggle reminders On/Off anytime.
  • Delete a reminder using the bin/trash icon.
  • Reminder rule changes typically apply to new invoices created after the update.

Important: Once a client pays, reminders for that invoice stop automatically.
