Documents & Contracts: Recurring Products in Product List

Add subscriptions to your contracts with clean line items—separate setup fees, mix one-time and recurring charges, and start billing on completion or a custom date.

Setting Up Recurring Billing Without Confusion

When adding subscription-based products to documents, it can be unclear how one-time charges, setup fees, and recurring billing should be structured together.

The product list allows you to combine one-time and recurring items, define billing schedules, and control when invoicing begins.

Without a clear setup, invoices can be misunderstood, billing may start at the wrong time, or customers may be confused about what repeats.

This guide will walk you through how to configure recurring products so your billing structure is clear, predictable, and easy to manage.

To begin, review what this feature does and how recurring products behave inside your document.

What This Feature Does

The Product List element can include recurring products so a signed document can kick off subscription billing. You can combine one-time and recurring items in the same list, and setup fees appear as separate line items for clarity.

Follow along: Add a Product List → add your one-time + recurring products → enable the recurring schedule in Properties → choose the invoice start date.

Add a Product List and Your Items

  1. Go to Payments → Documents & Contracts and click New.
  2. Insert a Product List element into the document.
  3. Add products to the list (include one-time and recurring items as needed).
  4. Confirm setup fees (if configured on the product) appear as a separate line item.

Tip: Keep names clear (e.g., “Monthly Hosting (Recurring)” and “Onboarding Setup Fee (One-time)”) so signers understand what repeats and what doesn’t.

Configure the Recurring Schedule

After adding recurring items, set the schedule inside the Product List settings so invoicing starts when you intend.

  • Open Product List → Properties and enable the Recurring Schedule for the recurring items.
  • Choose the invoice start date:
    • Document Completion Date (billing starts when the document is completed)
    • Custom Date (billing starts on a specific date you choose)
  • When the document completes, the system can generate/send the invoice automatically based on your settings.

How Billing Works When Items Are Mixed

  • First invoice: Includes one-time item(s), any setup fee(s), and the initial recurring charge.
  • Ongoing invoices: Only the recurring charges continue on the selected schedule.
  • Setup fees: Appear as separate line items and are billed once (first invoice only).

Pro tip: Add a short “Billing Summary” note near the Product List so signers understand what is charged today vs. what repeats.

Requirements & Important Notes

  • Payment integration required: Connect a supported gateway that allows recurring billing.
  • Completion trigger: Invoices are created when the document is completed by recipients.
  • Irreversible status: Once a payment is marked Completed, it cannot be reverted.

Want contracts that launch subscriptions automatically?

Frequently Asked Questions

How do I add recurring products to a document?

Create a new document, add a Product List, include your products, then set the recurring schedule in the Product List properties.

What happens when I mix one-time and recurring items?

The first invoice includes one-time items and the initial recurring charge. Future invoices include only the recurring charges.

Where do setup fees appear?

Setup fees show as separate line items and are billed on the first invoice only.

When does billing start?

You can start billing on the document completion date or choose a custom start date in the schedule settings.

What are the prerequisites?

You need a connected payment integration that supports recurring billing. Also note: completed payments cannot be reverted.

Turn Signed Documents Into Subscription Start Dates

Use a recurring Product List to make billing predictable: setup fees bill once, one-time items bill on the first invoice, and subscriptions continue automatically on schedule.
