Recurring invoices automate the billing process by generating and sending invoices on a set schedule based on your defined frequency.

Without automation, billing can become inconsistent, payments may be delayed, and tracking invoice history becomes more difficult.

This guide will walk you through how recurring invoices work so you can set up reliable, repeatable billing for your clients.

To begin, review what recurring invoices are and how they structure your billing workflow.

What Are Recurring Invoices?

Recurring invoices let you automate repeat billing for subscriptions, retainers, and ongoing services. You can set billing frequency, apply products, add a one-time setup fee, attach files, and manage invoice status from one place.

Create a New Recurring Invoice

Use the Recurring Invoice Builder to set the client, invoice name, products, and billing schedule.

  1. Open Recurring Invoices and click + New.
  2. Select New Recurring Invoice.
  3. Choose an existing client (or create a new one).
  4. Add products using + Add Product and adjust quantities/prices as needed.

Tip: Add your business info and logo so your invoice looks polished and consistent across clients.

Set Invoice Frequency

Define how often invoices are sent and when the recurring schedule starts/ends.

  • Frequency: Daily, Weekly, Monthly, or Yearly
  • Intervals: Example: every 3 days or every 2 weeks
  • Start/End: Never end, end by date, or end after a set date
  • Send in advance: Example: send 2 days before due date

Pro tip: If you want fewer “late” payments, set invoices to send a few days before the due date so clients have time to pay.

Add a One-Time Setup Fee

Setup fees are useful for onboarding, initial configuration, or account creation costs.

  • Add the setup fee to your product in the Products section.
  • The first invoice includes the setup fee + recurring charge.
  • Future invoices show only the recurring charge.

Save, Schedule, and Auto-Pay

When you’re ready, save as a draft or schedule the invoice to send automatically. Auto Payment options can be enabled during scheduling so customers can be charged automatically based on your settings.

Follow along: In the builder, click Save for draft → or click Schedule to automate sending.

Manage Active Recurring Invoices

You can edit the frequency, products, and dates anytime. Recurring invoice statuses help you quickly understand what’s happening across accounts.

  • Status tracking: Sent, Overdue, Paid, Not Sent
  • Invoice history: Review all generated invoices inside the builder
  • Stop recurring: Cancel from the Actions dropdown or the three-dot menu in the builder

Extras: Attachments, CC/BCC, and More

  • Product descriptions: Add or edit descriptions directly in invoices.
  • Autofill: Browser autofill can speed up checkout form completion.
  • Invoice naming: Edit invoice names before sending.
  • CC/BCC: Include stakeholders when sending invoices.
  • Attachments: Up to 10 files (max 20MB total) per invoice. Attachments are included with the initial email.

Note: Only one-time and recurring products are eligible for recurring invoices.
