Create a WhatsApp Template

Design and submit WhatsApp templates in BizStackPro with support for variables, media, interactive CTA buttons, and trigger links—built for Meta approval workflows.

Creating WhatsApp Messages That Get Approved and Delivered

You may want to send WhatsApp messages at scale, but templates must follow strict rules before they can be used.

WhatsApp templates require approval from Meta, and different types of messages (like marketing vs. utility) have different restrictions.

Without understanding these rules, templates can be rejected or blocked—especially with recent policy changes.

This guide will show you how to create, submit, and manage WhatsApp templates so your messages stay compliant and ready to send.

Once you understand how WhatsApp templates work, follow the steps below to build compliant templates, add variables and buttons, and submit them for approval inside your BizStackPro setup.

Important Update: WhatsApp Marketing Templates Pause (U.S.)

Starting April 1, 2025, Meta will pause delivery of WhatsApp marketing templates to U.S. phone numbers. Utility and authentication templates, plus service replies within the 24-hour window, remain allowed.

  • Create Utility Templates: Transition important messages that customers expect.
  • Use Click-to-WhatsApp Ads: Trigger compliant conversations from user-initiated actions.
  • Maximize the 24-Hour Window: Respond quickly after a customer message to stay in the service conversation window.

Permitted WhatsApp Business Activities

  • Utility conversations: Order updates, appointment confirmations, account notices.
  • Authentication messages: OTPs and verifications.
  • Service conversations: Replies within the 24-hour service window.
  • Click-to-WhatsApp ads: Generate compliant engagement through user intent.

Prerequisites

  • An active WhatsApp subscription for your BizStackPro location.
  • Meta onboarding completed for the location.

Steps to Create a Template

  1. Go to Settings → WhatsApp → Templates and click Create Template.
  2. Enter the Name (lowercase), select a Category (Utility or Marketing), and choose the Language.
  3. Add an optional Header (text or media), then write your Body content.
  4. Add variables using Add Variable and include sample values (required for review).
  5. Add optional Footer text.
  6. Optional: attach Media (image, video under 16MB, document/PDF, or location coordinates).
  7. Review your template and click Create to submit it for Meta approval.
  8. Track the status as Pending, Approved, or Rejected in the Templates tab.

Follow along: Keep names lowercase, keep language consistent, and always include sample values for any variables you submit.

Convert Marketing Templates into Utility Templates

Use the Template Rewriter to convert blocked U.S. marketing templates into compliant utility templates. The AI adjusts the content and appends _utility to the new template name.

  • Open your existing marketing template.
  • Click Convert to Utility Template.
  • Review the rewritten version and submit it for approval.

Note: Utility templates should focus on necessary, expected information (status updates, confirmations, reminders), not broad promotional messaging.

Trigger Links in WhatsApp Templates

Trigger links let you track clicks and fire automations when a contact taps a link inside your WhatsApp template.

  1. Create a trigger link in Marketing → Trigger Links.
  2. Add the trigger link URL into your WhatsApp template body.
  3. Build a workflow that triggers when the link is clicked.

Use reporting to monitor clicks and optimize your follow-up experience.

Interactive CTA Buttons

Buttons can make your templates more interactive and reduce back-and-forth by guiding the next step.

  • Quick Replies: Predefined responses for faster engagement.
  • Visit Website / Personalized Links: Drive traffic with dynamic links.
  • Call Phone Number: Let users call directly from the message.
  • Copy Offer Code: Share promo codes for easy redemption (when compliant).
  • Marketing Opt-Out: Allow users to opt out to stay compliant.

Want templates that pass review and perform?

BizStackPro helps you build WhatsApp templates with variables, buttons, and automations—so your messages stay compliant and your follow-ups stay consistent.

Pro Tips

  • Always add sample values: Meta typically requires examples for variable placeholders.
  • Keep names lowercase: Use lowercase template names to reduce avoidable rejections.
  • Stay compliant: For U.S. numbers, plan to convert marketing templates to utility where appropriate.
  • Use media intentionally: Add images/videos only when they improve clarity or context.
  • Act fast on rejections: Review the rejection reason, update content, and resubmit.

Frequently Asked Questions

How do we add custom variables in a template?

Click Add Variable in the Header or Body, select the custom variable, and provide a sample value for submission.

How do I resubmit a rejected template?

Click Edit Template, update the content, and submit again for Meta approval.

What happens if my template is rejected?

Meta provides a rejection reason. Adjust the content and resubmit the template for review.

Usually a few minutes up to 24 hours, depending on Meta’s review queue.

Can I include media in WhatsApp templates?

Yes. You can include images, videos under 16MB, and documents like PDFs.

How does the AI Template Rewriter work?

It removes non-compliant elements, rewrites content to align with utility-style rules, and submits the converted template automatically.
